Terms of Service

1. Acceptance of Terms
By downloading, installing, or using the KhataFlow mobile application or website ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service. These Terms constitute a legally binding agreement between you and KhataFlow Technologies.
2. Description of Service
KhataFlow is a business management platform designed for Indian micro, small, and medium enterprises (MSMEs). The Service enables merchants to record credit sales, track customer balances, manage a product catalog, and send payment reminders. The Service is provided on a freemium basis — a Free plan is available at no cost, and a Pro plan is available for a monthly subscription fee.
3. Eligibility
You must be at least 18 years of age and a resident of India to use KhataFlow. By using the Service, you represent and warrant that you meet these requirements and that the information you provide is accurate and complete.
4. Account Registration
Access to KhataFlow requires registration via your mobile phone number. You are responsible for maintaining the confidentiality of your account and for all activities that occur under it. You must notify us immediately at hello@khataflow.com of any unauthorised use of your account.
5. Subscription and Payments
Free Plan: Free to use with no time limit. Features are as described on the pricing page.
Pro Plan: Billed monthly at ₹199 + applicable GST. Subscriptions auto-renew unless cancelled at least 24 hours before the renewal date.
Refunds: Pro subscriptions are non-refundable once a billing cycle has commenced. If you cancel, you retain Pro access until the end of the paid period.
Price Changes: We reserve the right to change subscription pricing with 30 days' prior notice via in-app notification or email.
6. Acceptable Use
You agree not to use KhataFlow to:
- Record transactions for illegal goods or services
- Send unsolicited or abusive messages to your customers via our SMS feature
- Attempt to reverse-engineer, decompile, or extract source code from the application
- Use automated scripts or bots to interact with the Service
- Impersonate any person or entity or misrepresent your affiliation
- Violate any applicable Indian law or regulation, including the Information Technology Act, 2000
7. Your Data
You retain full ownership of all business data, customer records, and transaction data you create in KhataFlow. By using the Service, you grant us a limited, non-exclusive licence to store, process, and sync your data solely for the purpose of providing the Service to you. We do not claim any ownership over your data.
8. Service Availability
KhataFlow's offline-first design means your core ledger functions remain available even when our servers are unreachable. We strive for high availability on our cloud sync service and will endeavour to notify users in advance of any planned maintenance.
9. Intellectual Property
All content, branding, software, and technology comprising the KhataFlow Service — including the application, website, logo, and design — are owned by KhataFlow Technologies and protected by applicable intellectual property laws. Nothing in these Terms grants you a right to use our trademarks or branding.
10. Limitation of Liability
To the maximum extent permitted by applicable law, KhataFlow Technologies shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits or business opportunities, arising out of or related to your use of the Service. Our total liability for any claim arising from these Terms shall not exceed the amount you paid us in the 3 months preceding the claim.
11. Termination
We may suspend or terminate your account at any time if you violate these Terms or engage in conduct we deem harmful to other users or the platform. You may delete your account at any time through the app settings. Upon termination, your data will be deleted in accordance with our Privacy Policy.
12. Governing Law
These Terms are governed by and construed in accordance with the laws of India. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts in Faridabad, Haryana.
13. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes via in-app notification at least 15 days before they take effect. Continued use of the Service after changes constitutes your acceptance of the revised Terms.
